Senior Pick up and Drop Off, May 27, 2020 (UPDATE)

We are looking forward to seeing you next week during the cap and gown distribution. Please take a moment to see the important updates below:

We STRONGLY encourage you to record your video during the cap and gown distribution on Wednesday, May 27, 2020, during your scheduled time (please come ready to record your video). We will have a wonderfully decorated display for students to record their personal videos. If you are not able to attend students are asked to:

  • Upload your 10 second video (Cap and Gown required)
  • Choose to use your yearbook photo
  • Choose to use your name only (no video or photo will be used)
  • Opt out of Virtual Graduation Entirely

All Seniors must go to the website and select one of options above. Update - now due on Wednesday, May 27, 2020 (Note: Date changed to meet the requirements of the production company). Here are a few tips to help make your recording a success. Student Video Directions.pdf 

To celebrate the upcoming graduation for the Class of 2020 and prepare for our virtual graduation, we have a safe and detailed plan for Wednesday, May 27th, 2020. Please plan to be recorded for our virtual graduation more information below). Please read ALL of the instructions to ensure all of the directions are followed to help make this as streamlined and safe as possible:

  • Pick up graduation items (caps, gowns, tassels, cords, etc.)
  • Return and drop off of school materials, textbooks, equipment, computers, calculators, athletic uniforms/gear,
  • Student items and Medication pick up, parent signature required
  • Record individual senior videos for our virtual graduation (please come prepared to be recorded)

The details are outlined below. Please read carefully and make sure that you check off everything you need to do. Your help will ensure that this process runs smoothly.

  • Students will need to bring the following school-issued materials, including, but not limited to:
    • Textbooks
    • Media Materials
    • Calculators
    • Music Uniforms, Material, and Equipment (NOTE: Music materials and equipment needs to be bagged separately)
    • And/Or any other obligations or items belonging to GHS or HCPSS
    • Chromebooks (NOTE: do not place in the bag with other items, please keep separate)
    • NOTE: Athletic equipment needs to be bagged separately and sorted by athletic team.

Please place all of these items in a bag (Note: bag will NOT be returned) with your first and last name and the list of items in the bag, keep Chromebooks separate. Use the links for the  forms for returned items.  USE THIS FORM FOR BOOKS AND OTHER MATERIALS, USE THIS FORM FOR ATHLETIC UNIFORMS AND EQUIPMENT, USE THIS FORM FOR MUSIC UNIFORMS, MATERIALS, AND EQUIPMENT or write a list and attach it to the bag(s) of items.

  • Students will need to bring the following information on 2 index cards.
    • Index card with formal name printed on one line and phonetic pronunciation printed on the next line.
    • Index card with postsecondary plans, major (or undecided), honor societies, award/scholarship information
  • Students and families will arrive at the scheduled time (listed below).
    • For arrival, drivers will access the baseball parking lot using Burntwoods Road. (see diagram below)
    • For departure, drivers will need to depart at Burntwoods Road closest to the auditorium. (see diagram below)
    • We are asking that all drivers follow safe and courteous rules of the road. This process will take some time and it is critical that everyone is patient and follows traffic directions.
    • Students may not pick up materials for any other individual.
    • Students are encouraged to come to record their video for our virtual graduation.
    • One vehicle per household will be permitted. We encourage a parent driver so that the student is available to participate in each station.
    • Vehicle occupants must remain in their car at all times until the recording station.
    • On the passenger side windshield, please post students FIRST AND LAST NAME and APPOINTMENT TIME (listed below), in large readable print on 8x10 paper securely, when you arrive for your designated time (see times below)

Upon arrival at the school, drivers must follow the established traffic pattern to avoid traffic backing up on Sharp Road and Burntwoods Road

  • Station 1 Check-In
  • Station 2 Cap & Gown Pick-Up
  • Station 3: Books and Material Drop Off (please see directions above)
  • Station 4: Students Items and Medication Pick up (parent/guardian signature required for medication pick up)
  • Station 5: Senior Video for virtual graduation
    • Please get into your caps and gowns while waiting in your car for your turn to record the video.
    • This is a 5 to 10-second video
    • Each student will say their full name, then students can add a celebratory gesture and/or hold a printed poster sign to say Thank You, I LOVE YOU or Farewell Gladiators. If a family would prefer not to allow a student to be videotaped outside of the car, the family can indicate that they will complete the video at home and will submit it by Wednesday, May 27th, 2020.  
      • Directions are provided above on how to submit videos not recorded on site.  
      • Senior portraits can also be substituted in place of a video recording.

Students and families are asked to wear face masks and gloves during your time as you drive through each of the stations. Students can remove face masks during their video but must replace it as soon as they are finished.  

  • Students should arrive at assigned times based on their last name:
    • Groups of 45 (1 vehicle per family)
    • 1-hour appointment blocks
    • 8:00 AM - 3:30 PM
  • Please direct any questions to your student’s administrator.
  • If you have an item of critical need in the school building, please complete this survey GHS Senior Critical Item Pick-up Survey May 2020 immediately, and we will try to have the item for you when you arrive. We cannot guarantee we will have access to all items by this date. Students are not permitted to enter the school building.
  • We will continue to send out new information. Please make sure you read your emails from GHS for any updates.
